Certificates - Change Progress Log

Part3 has the ability to help you track the completion of your change orders! Just because a change order has been issued, it doesn't mean you can bill it 100%. The work must be completed or the materials must be on site.

The Change Progress Log helps you track the release of payment against all approved change orders depending on the physical work completed to date!

When would you use this feature?

The change progress logs should be enabled as soon as you have at least one approved change order issued in your project.

How to enable the change progress log

As a default, we will not enable the change progress log for you. We don't want to make assumptions about the way you work, or your responsibilities in the project. To enable the change progress log, follow these steps.

Step 1: At the project level, click on the 'Team' icon on the left-hand navigation.

Step 2: As the Prime Consultant, your company should be listed at the top of the team's page. Click the 'Edit cover pages' button in the top right of your company listing.

Step 3:  Scroll down the list of document types and click on 'Certificate'. Click on the blue 'Include change progress logs' toggle.

Step 4:  Click the blue 'Save Settings' button at the bottom of the pop-up.

Now the change progress log is enabled!!! πŸŽ‰

Change progress logs in the certificate

Once you have enabled the change progress log and you have at least one approved change order on your project, you can start tracking its completion!

Step 1: Scroll down in your certificate until you see the 'Change progress log' bar. Click on the grey bar to see the log.

Step 2: You'll see a list of all approved change orders on your project.

An 'approved' change order is one that has been issued and has a green βœ…on the change log.

Step 3: Click the 'Edit' button in the top right corner to begin entering the dollar values of any work completed to date for those change orders.

Step 4: In the 'This period' column, fill out either the percentage or dollar value of the work that has been completed to date and is being billed for this specific pay period.

As you fill out the % or $ values in the 'This period' column, the values in the other column will auto-populate

A few things to note

  1. The dollar values entered can never exceed the 'Approved $' of a change order.
  2. Negative percentages cannot be entered. This means, that if you previously progressed money, you cannot take back what was previously progressed.

Step 5: When finished, click the blue 'Save' button in the top right corner of the table.

Step 6 (Optional): If you are progressing against any change orders that are currently under review, click the 'Show "Under Review" COs' toggle above the table.

In what scenario would you need to do this?

Imagine there is a Change Directive where work is being done, and the GC wants to be paid for the work completed so far. Sounds good, but there is no final Change Order yet. When this toggle is on, you can progress against any under-review change orders and come back and update them when they're approved/issued.

Step 7: Update the percentage or dollar values in the 'This period' column, and hit the blue 'Save' button in the top right corner when you're finished.

The final output of the Certificate will include a PDF of this change progress log!
