Certificates - Revise

Need to make a change to an issued Certificate for Payment? Part3 lets you create revisions while keeping your project financials accurate and your record intact. Follow the steps below to get it done!

🔄 How to Revise Certificates for Payment

There are 2 options depending on which certificate you need to revise.

  1. Revise the Most Recently Issued Certificate
  2. Revise an Older Certificate (Not the Latest)

Option 1: Revise the Most Recently Issued Certificate

Step 1: Create a Revision

  1. Open the most recently issued Certificate for Payment.
  2. Click the "+" button next to the Download button in the top right.
  3. Select Create Revision.
  4. Make your adjustments.
  5. Once complete, reissue the certificate.

💡 Tip: The "+" button and Create Revision option only appear on the most recently issued certificate. If you don't see it, a newer certificate has likely been issued after this one — see Option 2 below.

Option 2: Revise an Older Certificate (Not the Latest)

If the certificate you need to revise is not the most recently issued one, you'll need to delete any certificates issued after it before you can access the revision option. This must be done in reverse order — starting with the most recently issued certificate and working backwards.

Why does order matter? Each Certificate for Payment builds on the financial state of the previous one. Because the financials are linked sequentially, revisions must happen in consecutive order to keep your records accurate.

💡 Tip: Sort your certificate log by Issued Date to see the correct sequence before you begin.

For example, if you need to revise Certificate 3, you'll need to delete Certificate 5 and Certificate 4 first, then create a revision on Certificate 3.

Step 1: Delete Certificates in Reverse Order

  1. Open the most recently issued certificate.
  2. Click the "…" menu in the top right corner.
  3. Select Delete.
  4. Repeat for each certificate issued after the one you need to revise.

Step 2: Create a Revision

  1. Once the later certificates have been deleted, open the certificate you want to revise.
  2. Click the "+" button next to Download.
  3. Select Create Revision.
  4. Make your changes and reissue.

Step 3: Recreate Any Deleted Certificates

Once your revised certificate is issued, recreate the certificates you deleted so your project record is complete and up to date.

✅ That's it! Following these steps ensures your certificates and project financials stay clean and accurate.

Why Is It Built This Way?

When a Certificate for Payment is issued in Part3, it directly updates the project's financials, including the total certified to date and the current payment due.

Each certificate builds on the financial state created by the previous one. Because of this, the system maintains a sequential order to ensure all calculations remain accurate and traceable.

If a certificate is revised out of sequence, it alters the financial baseline that subsequent certificates rely on — meaning the amounts shown on later certificates may no longer be accurate.
