Custom Distribution Groups

Part3 offers a variety of workflows, and we recognize that not every project member needs to be notified about all documents. For instance, the Owner may need to receive Change Orders, but may not need to be notified about every submittal.

This is why custom distribution groups exist! Let's get started!

Creating your distribution group


Step 1: At the project level, on the left-hand navigation, go to 'Settings'. Click on the 'Distribution groups' tab.


Step 2: Click the blue 'Create' button to get started.

Step 3: A new modal will appear for you to enter the details of the group. Enter the name of the distribution group and select which document types you want to apply this to. When finished, click the blue 'Next' button.

Note: If your project is connected to Procore, you don't need to make distribution lists for Submittals or RFIs.

Step 4: It's time to select the individuals to include in this distribution list. You can scroll and click on the name of the individual, or you can use the filter options to narrow down your search. When finished, click the blue 'Create' button.

Now that you've created your distribution group, you will see it on the main 'Distribution Lists' tab under your project settings.


Distribution groups on documents

Now that you've created your custom distribution groups, you will see them on all new and active document types.

The 'Individuals' area will include anyone who is an active contributor to that document (ie, a reviewer or consultant that is adding drawings/attachments).

Note: You may see some people under the 'individuals' area who are not on the document, but they will appear because they were included in Part3's original distribution list permissions. You can revise these on the project team page. Read more here.

You can add or delete groups/individuals by clicking the 'x' icon. You can also click the 'Manage' icon to revise the group.


Editing your distribution group


To make updates to the group click the 3 dots on the right-hand side of the grey bar and select. You can select the following:

'Edit details': This is where you can change the group name and what documents it applies to.

'Edit contacts': This is where you can add or remove individuals to this specific group.

When you've finished your updates, make sure to click the blue 'Save' button.


Deleting your distribution group

You can delete your distribution groups at any time.

Step 1: Go to the main distribution groups tab at your project settings.

Step 2: Click the 3 dots on the right-hand side of the group you want to delete and select 'Delete group'.

Step 3: A pop-up will appear to make sure this is the action you want to take. If you're sure, click the red 'Delete' button.

Note: If you have any active documents that currently include that distribution group, that group will still appear on the document. The deletion of the group will only impact newly created documents.
