Project Templates

When you create a project, there are usually a few things you'll want to carry over each time, like document names, disclaimers, and custom workflows. That's exactly why we built Project Templates.

Set a project up the way you like it, save it as a template, and reuse it for new projects.

The easiest way to build a template is to set up a project exactly the way you want it, then save it as a template.


Step 1: Open a project and head to settings, then document settings. Select a workflow at the top (Submittal, RFI, etc). At this level, you can adjust the display settings and disclaimers for that document type.

  • A template does not carry over your project team, budgets, schedule dates, or document assignees. Those stay specific to each project.

Step 2: Repeat Step 1 for each document type on your project, including any custom workflows you've set up.

Step 3: Once everything is set up, save your settings as a template. Head to settings, document settings, then general, scroll to the bottom and choose save as template.


Step 4: Give the template a name and an optional description, then click create template. Names must be unique, so if one is already taken, you'll be asked to pick another. 🙌


Manage your Templates

Your templates live at the organization level. Once at the organization, you can make adjustments to the templates!

Note: Only individuals with 'Admin' permissions on your team can create and modify templates at the organizational level.

Step 1: Head to your organization by selecting menu (top left nav), select your organization (at the bottom).

Step 2: Now that you're at your organization, click the settings tab, then select project templates.


Step 3: Each template shows its name, description, and a count of the document types it covers. From here you can click the ... next to the template name to make adjustments to:

  • Edit Template: Display names, IDs, and disclaimers (all organized into a tab for each document type
  • Edit Template Details: to rename it or update its description
  • Delete: if you no longer need it

Hot Tip: Editing a template changes what your future projects inherit. Existing projects are not affected.


Use a Template on a New Project


Step 1: Create a new project. Follow this help guide if you need to!

Step 2: On the configure settings step (2nd step after adding the project information), you have 2 options to choose your template:

  • Option 1: From the project template dropdown, select a template, followed by apply template.

  • Option 2: From the project template dropdown, scroll to the bottom, select +create from an existing project. Choose from the project list the template you would like to select, rename it if you'd like, add an optional description, followed by save and use this template.




Step 3: Finish creating your project, by selecting create project. Your document names, IDs, disclaimers, and custom workflows will be applied automatically.

Hot Tip: A template must be selected. If you don't have one, you can always select Part3 default. This template includes Part3's standard out-of-the-box naming conventions.


Naming Conventions


Part3 uses standard industry terminology, but we know one size doesn't fit all. Every firm has its own nomenclature for certain document types, and that's exactly what project templates are for: they let Part3 speak your language instead of ours.


The chart below shows Part3's naming conventions, other terms you might see used across the industry, and a brief description of each.


A Few Things to Know


  • Templates apply to new projects only. Your existing projects keep their current settings.
  • You can have more than one template. Handy if you run different nomenclature on different project types.
  • Saving from a project always creates a new template. To change an existing one, edit it at the organization level (see Manage Templates above)
  • Need to override a name on a single project? You still can. → Document Names and IDs
